For years, venue wifi sat in the same budget bucket as parking lot lighting — a necessary expense nobody expected to make money. That’s changed. A growing number of hotels, conference centers, and event venues are treating their internet infrastructure as a managed asset that pays for itself, rather than a sunk cost buried in the facilities budget.
“The shift happened once operators realized guests will pay for reliable connectivity the same way they’ll pay for a better room view,” said Colin Marsh, a hospitality technology consultant who advises venue owners on infrastructure investments. “A conference center that can guarantee bandwidth for a five-hundred-person general session isn’t just avoiding complaints anymore. It’s competing for bookings against venues that can’t make that promise.”
The Business Case Venue Owners Are Starting to See
Marsh says the economics work differently than most facility managers expect going in. Rather than treating high-density wifi as a capital expense with no return, venues that install enterprise-grade mesh networks can offer tiered guest access — complimentary basic connectivity alongside paid premium tiers for events needing guaranteed bandwidth, livestreaming capacity, or dedicated device allocations.
“I’ve watched venues go from apologizing for their wifi to actively selling it as a differentiator in their sales materials,” Marsh said. “That’s a real shift in how facility managers think about the asset. It stopped being something you fix when it breaks and became something you market.”
The revenue-share structure appeals to venue operators specifically because it removes the upfront capital risk that used to keep this kind of infrastructure off the priority list. Rather than the venue funding a full network buildout and hoping utilization justifies the cost, specialist providers increasingly cover installation and equipment costs directly, then share revenue generated from event-specific guest access.
What Changed on the Technical Side
Delphine Okonkwo, a network engineer who has designed connectivity for large event venues, says the technology finally caught up to what venues actually need. “Ten years ago, covering a five-thousand-person concert hall with reliable wifi meant massive capital expenditure and a network engineering team most venues couldn’t justify keeping on staff. High-density mesh architecture changed that math substantially — you can now blanket a large venue with redundant coverage without the venue owning or maintaining any of the actual hardware.”
That’s the model behind large venue wifi installations built for hotels, conference centers, and music venues that need permanent, professionally managed infrastructure rather than a rented solution for a single event. Unlike temporary event-specific kits, a venue-wide installation has to handle wildly different loads from one week to the next — a corporate conference one week, a concert the next, each with a completely different device density and bandwidth profile.
Okonkwo says the redundancy piece is what most facility managers underestimate until something fails. “A venue running one internet connection with no failover is one fiber cut away from a very bad night. Splash pages, captive portals, guest authentication — none of that matters if the underlying connection goes down mid-event and there’s no backup path automatically picking up the load.”
Staff Productivity Is the Quiet Half of the Business Case
Marsh points out that the guest-facing angle gets most of the attention, but the staff-side benefit is where a lot of venues see immediate operational value. “Backstage crews, catering staff, box office systems, security cameras — all of that increasingly runs over the same network infrastructure. A venue that upgrades for guest wifi ends up fixing a dozen smaller operational headaches at the same time, almost as a side effect.”
He’s seen venues discover this the hard way. “One conference center I worked with had box office ticketing crash during a sold-out show because the point-of-sale system was fighting for bandwidth with three thousand attendees’ phones on the same underpowered network. That’s not a guest wifi problem. That’s a revenue problem, because ticket sales literally stopped.”
Okonkwo says the venues getting this right treat network design the same way they’d treat electrical or HVAC planning — as core infrastructure that gets engineered up front, not patched together reactively after something breaks during a sold-out event. “The venues still treating wifi as an afterthought are the ones you hear about on social media because something embarrassing happened during a big show. The ones that got the infrastructure right, you never hear about, because nothing went wrong.”
That asymmetry is probably why the shift has taken this long. A working network is invisible. A broken one becomes the whole story of the event. Venue owners who’ve been on the wrong side of that story once tend not to make the same mistake twice.
How Venue Owners Are Actually Evaluating the Decision
Marsh says the ROI conversation with facility managers usually starts with a question he asks every new client: how many events last year were booked or lost specifically because of a connectivity question during the sales process. “Most venues don’t track that number, but once you start asking prospective clients directly, the answer is almost never zero. Event planners have gotten a lot more sophisticated about asking for bandwidth guarantees before they sign, and a venue that can’t answer confidently loses the booking to one that can.”
He walks new clients through a straightforward comparison: the cost of a properly engineered, redundant network against the revenue a venue loses from even a handful of bookings that go elsewhere over connectivity concerns, plus the reputational cost of a single high-profile outage during a headline event. “Once you put an actual number next to ‘we lost the state association’s annual conference because their AV director asked about our bandwidth guarantee and we didn’t have one,’ the infrastructure spend stops looking optional.”
Okonkwo adds that the maintenance model matters as much as the initial installation. “A network that gets installed once and never revisited degrades. Device counts at events keep climbing every year, and a mesh network sized for 2022’s attendance numbers is often undersized by the time you’re three years in. The venues that stay ahead of it treat capacity planning as an ongoing conversation with their connectivity provider, not a one-time project that gets signed off and forgotten.”
The venues Marsh considers furthest along have stopped thinking about this as an IT line item entirely. “It’s in the sales deck now, right alongside square footage and catering capabilities. That’s the real signal that the shift is permanent — when the thing you used to apologize for becomes the thing your sales team leads with.”
